How Roohi Recruitment Services handles the information you share with us.

Who we are

M/s Roohi Recruitment Services is a proprietorship firm registered as a Recruiting Agent by the Protector General of Emigrants, Ministry of External Affairs, Government of India, under section 10 of the Emigration Act 1983. We place candidates from India with employers overseas, mainly in the Gulf and in parts of Europe.

If anyone claims to recruit on our behalf, ask them for this number. A genuine Indian recruiting agent has one and must display it.

We also have offices in Kochi, Kottayam and Kozhikode — see Contact. This policy explains what we collect, why, who we share it with, and what you can ask us to do about it.

What we collect

  • When you register on this website: your name, the job you are looking for, your mobile number, your WhatsApp number, and — if you choose to give them — your email address and any message you write.
  • When you apply through Facebook or Instagram: if you submit one of our lead forms on those platforms, Meta passes us the details you entered there. We receive that information from Meta; we do not track you on Facebook or Instagram.
  • When you message us on WhatsApp: your number and the messages you send us.
  • If you upload a CV: the document itself and the details in it — your qualifications, experience, passport details where you include them.
  • Automatically, as you browse: which page you viewed, which site referred you, whether you are on a phone, tablet or computer, and a random per-tab identifier that disappears when you close the tab. This does not include your name, phone number, email or IP address.

Cookies and tracking

We do not use tracking cookies, and there is no Google Analytics, Facebook Pixel or any other third-party tracker on this site — our own security policy blocks them. Our visitor counting is first-party and stores only the per-tab identifier described above, in your browser's session storage, which your browser clears when the tab closes.

Two exceptions worth naming: our About and Contact pages embed YouTube videos and a Google map. Those are served by Google and may set their own cookies when you interact with them.

Why we use it

To register you as a candidate, to match you against vacancies we are actually recruiting for, to contact you about those vacancies, and to submit your profile to an employer when you are being put forward for a role. We also use it to meet the record-keeping obligations that apply to a licensed overseas recruitment agent.

Who we share it with

  • Prospective employers — only as part of a genuine application, and only when you are being put forward for a specific role. These employers are outside India, mainly in the GCC, Israel and Europe, so your details are transferred to those countries.
  • An AI service — when you upload a CV, the document is read automatically by a specialist provider in the United States, under contract and on our instructions only. They do not use it for their own purposes.
  • Our cloud hosting provider — your record and any files you send us are held on secure servers in Singapore.
  • Government authorities — where the law requires it, including emigration clearance and other statutory checks.

Each of these acts on our instructions and is bound by contract. If you want to know exactly which companies these are, ask our Grievance Officer below and we will tell you.

We never sell your information, and we never share it with anyone for advertising. Registering with Roohi is free. Where a service charge applies to a role, it is told to you before you commit to anything, and it is paid to Roohi Recruitment Services against a receipt — never to an individual, and never into a personal account. If someone contacts you claiming to be from Roohi and asks you to pay them any other way, it is not us: check our registration number above and tell us on +91 75 94 98 98 98.

How long we keep it

We keep a candidate's details for two years from our last meaningful contact with you. After that we delete or anonymise the record, unless we are required to keep it longer — for example where a placement has taken place and the law obliges us to retain the file.

Your rights

You can ask us at any time to:

  • tell you what information we hold about you;
  • correct anything that is wrong or out of date;
  • delete your information;
  • withdraw your consent and stop contacting you — this does not affect anything we did before you withdrew it;
  • nominate someone to exercise these rights for you if you are unable to.

Ask by emailing jobs@indianrecruitment.com or messaging us on WhatsApp. We will respond within 30 days. If you are not satisfied with how we handle it, you may complain to the Data Protection Board of India.

How we protect it

Your record is held in an access-controlled system. Staff see only what their role requires, every connection is encrypted in transit, and salary, bank and identity documents are restricted further still. No system is perfect, but we do not leave candidate data lying in spreadsheets or shared inboxes.

Children

This service is for adults seeking employment overseas. We do not knowingly collect information from anyone under 18. If you believe we hold a child's details, tell us and we will remove them.

Changes to this policy

If we change how we handle your information, we will update this page and change the date at the top. If the change is significant, we will tell registered candidates directly.
